Inventory Status

For those of you who use SCRAMNET® as your inventory tracking system, you should always know where each device is located as well as its current status. If a piece of equipment is lost, it is important to update SCRAMNET to reflect the lost unit. Each device will be in one of the following statuses:

  • Shipped From AMS – New equipment begins in the Shipped From AMS status when received from Alcohol Monitoring Systems, Inc. (“AMS”), d/b/a “SCRAM Systems.”
  • In Inventory – When you receive new equipment, change the status of each device to In Inventory status. Once the status is changed, the equipment is available for use on clients.
  • In Transit to Location – Set the status to In Transit to Location when you are shipping equipment from your central office to a servicing location.
  • Pending Assignment – SCRAMNET sets devices to Pending Assignment status when each is selected for assignment to a client.
  • Assigned to Client – SCRAMNET sets the equipment to Assigned to Client status when the device communicates with SCRAMNET following successful client installation/enrollment.
  • Pending Removal – SCRAMNET sets the assigned equipment to Pending Removal status when an equipment check-in or replacement process is begun. Monitoring and billing continues in this status.
  • Awaiting Return – Equipment is set to Awaiting Return when not all equipment is on-hand, but monitoring and billing should be stopped.
  • In Transit to AMS – Set the status of each device being returned to SCRAM Systems to In Transit to AMS status prior to shipping.
  • At AMS – SCRAM Systems sets the status of each returned device to At AMS upon receipt.
  • Lost – If a device is lost while assigned to a client, set the status to Lost in order to stop the daily monitoring fee for that device. If a device is lost while in your inventory, setting the status to Lost ensures that your “spare” inventory count is properly maintained and impacts your net commitment.
  • Permanently Lost – SCRAM Systems uses the Permanently Lost status for upgraded equipment that has not been returned from the field.

Receiving Equipment From SCRAM Systems

When equipment is received from SCRAM Systems, SCRAMNET must be updated in two ways:

  1. Change the equipment status from Shipped From AMS to In Inventory.
  2. If servicing locations exist, associate the equipment with the proper location.

You can change the status and servicing location for equipment individually or in groups. To enter the equipment into inventory:

  1. In SCRAMNET Optix™, click the CAM Active Clients link to access SCRAMNET.
  2. Click the Inventory link.
  3. Select the “Shipped From AMS” option in the Status drop-down list.
  4. Click the Search button.
  5. Select equipment. The equipment can be selected in one of two ways:
    • Click the Select All link. Check marks will appear in all check boxes.
    • Select one or more check boxes.
  6. Click the Update Status button.
  7. Select the “In Inventory” option in the Status list. If unique servicing locations have NOT been established, ignore the following step and click the Next button.
  8. Select a location in the Servicing Location list and click the Next button.

Transferring Equipment to Another Servicing Location

Inventory may need to be shipped from one servicing location to another based on pending client assignments, or inventory that is received and managed from a central call center may then be shipped to the various servicing locations from the central site. Under these circumstances, the shipped items can be transferred, by serial number, in SCRAMNET. This level of accounting for each piece of equipment at any time ensures that lost equipment will be held to a bare minimum. To transfer the equipment:

  1. In SCRAMNET Optix, click the CAM Active Clients link to access SCRAMNET.
  2. Click the Inventory link.
  3. Select the “In Inventory” option in the Status drop-down list.
  4. Select your servicing location in the Servicing Location drop-down list.
  5. Click the Search button.
  6. Click the check box for each bracelet and base station being transferred to the other servicing location.
  7. Click the Update Status button.
  8. Select the “In Transit to Location” option in the Status list.
  9. Select a location in the Servicing Location list and click the Next button.

Receiving Equipment From Another Servicing Location

Once the equipment is physically received by the new servicing location, the status of that equipment must be changed to In Inventory to be available for use on a client. To receive the transferred equipment:

  1. In SCRAMNET Optix, click the CAM Active Clients link to access SCRAMNET.
  2. Click the Inventory link.
  3. Select the In Transit to Location option in the Status drop-down list.
  4. Select your servicing location in the Servicing Location drop-down list.
  5. Click the Search button.
  6. Click the check box for each device being received into your inventory.
  7. Click the Update Status button.
  8. Select the “In Inventory” option in the Status list and click the Next button.

Associating Equipment With New Servicing Location

Once a new servicing location is created in SCRAMNET, you can associate your present inventory with that servicing location. To accomplish this, compile a serialized list of which bracelets and base station are physically stored in which servicing location. With the list in hand, perform the following:

  1. In SCRAMNET Optix, click the CAM Active Clients link to access SCRAMNET.
  2. Click the Inventory link.
  3. Click the Search button to view your entire inventory.
  4. Select the check box for each device that you want to associate with a specific location.
  5. Click the Update Status button.
  6. Select the proper servicing location.
  7. Click the Next button.
  8. Repeat steps 3 through 7 for each servicing location.

Returning Equipment to SCRAM Systems

Prior to shipping equipment back to SCRAM Systems, an RMA number must be assigned to each device. Without an RMA number, the equipment cannot be placed into In Transit To AMS status.

InformationEquipment marked for return by SCRAM Systems will already have an RMA number assigned.

Once you determine that you have to return one or more devices, contact SCRAM Systems Customer Service with the following information available:

  • The equipment serial number
  • The reason that each device is being returned

After SCRAM Systems Customer Service agrees that the equipment should be returned, an RMA number is assigned to each device. The RMA number is shown on the Inventory screen.

Prior to shipping, change the status of each device being returned to In Transit to AMS. Once a device is shipped, enter the FedEx Tracking Number in SCRAMNET. This number becomes important if the need arises to validate that the device has actually been shipped. Upon receipt by SCRAM Systems, each device is inspected for possible tampering and updated firmware is loaded, if necessary.

If you feel that a piece of SCRAM Systems equipment may pose a specific health hazard, and you decide it is not worth the risk to clean or reuse the device, please:

Dispose of the device in a sealed plastic bag and follow the e-waste disposal guidelines in your area for specific electronic equipment disposal instructions.

Conducting Physical Inventories

It is important to conduct physical inventories of your equipment on a monthly or at least a quarterly basis. To assist you in performing your physical inventories, a Current Inventory Report is available on SCRAMNET. This report will list the serial number for each device that is reflected in SCRAMNET. Each line item in the report has a check box so you may physically account for each device and ensure that SCRAMNET agrees with the equipment you have on hand. To locate the Current Inventory Report:

  1. In SCRAMNET Optix, select the CAM Active Clients link to access SCRAMNET.
  2. Select the Reports tab.
  3. Select the Inventory Tracking Report.
  4. Select the appropriate option in the Device Type dropdown list to focus your physical inventory on a specific type of device, if desired.
  5. Select an option in the Inventory Status dropdown list if you are performing a physical inventory for equipment with a specific status.
  6. Select an option in the Location dropdown list if you are performing a physical inventory for equipment in a specific servicing location.
  7. Print the report so you may use it to check off each unit as it is located.
  8. Update SCRAMNET for any discrepancies or differences with your physical inventory count.
    InformationDiscrepancies between your physical inventory and SCRAMNET inventory may mean that units need to be updated to Lost status in SCRAMNET, especially if you cannot locate the serial numbers and do not have any idea where they may be.

    Disinfecting and Cleaning

    SCRAM Systems recommends you follow these SCRAM Device Cleaning Best Practices and use the prescribed SCRAM Device Cleaning Supplies when it is time to clean and disinfect your devices, especially upon return from a client and before assignment to another client.

    If you feel that a piece of SCRAM Systems equipment may pose a specific health hazard, and you decide it is not worth the risk to clean or reuse the device, please:

    Ordering Additional Equipment

    SCRAM Systems recommends that you maintain an inventory of at least 10% above the total number of devices currently assigned to all clients. To maintain this readiness level, order equipment at least two weeks prior to when you anticipate a need for utilization. Use the Customer Equipment Order Form to order equipment. Equipment will be shipped using standard 3-day shipping rates. If you need the equipment sooner, you will be billed for the additional shipping costs.
